1. Who we are
Swanx is operated by Stratix Technologies LLC, a limited liability company registered in the State of Wyoming, United States of America.

This policy applies to all users of Swanx worldwide. Where local law gives you stronger rights than described here (for example under the EU/UK GDPR or other regional data protection frameworks), those rights apply in addition to this policy.
2. What information we collect
2.1 Information you provide directly
- Account information: Your name and email address when you create an account
- Profile information: Your negotiation goals and experience level (provided during onboarding)
- Session content: Negotiation practice conversations you conduct in the app
- Payment information: We do not store your payment card details. Payments are processed by Dodo Payments. For B2B invoicing, payments are processed via Payoneer. We receive only a transaction reference and your subscription status.
2.2 Information collected automatically
- Usage data: Which scenarios you use, when you practice, how long sessions last
- Performance data: Your negotiation scores, dimension scores, and progress over time
- Device information: Browser type, operating system, device type
- Log data: IP address, access times, pages viewed
2.3 Information we do not collect
- We do not collect your voice recordings permanently. If you use voice mode, audio is transcribed in real time and the audio is not stored.
- We do not collect payment card numbers, bank details, or financial account information.
- We do not collect government ID numbers.
3. How we use your information
We use your information to:
- Provide the service: Run negotiation simulations, calculate scores, generate coaching reports
- Personalise your experience: Recommend scenarios based on your goals and performance
- Improve the product: Understand how users engage with different scenarios and features (aggregated, not individual analysis)
- Communicate with you: Send progress summaries, session reminders (if you opt in), and important service notifications
- Process payments: Manage your subscription through Dodo Payments (B2C) and Payoneer (B2B)
- Ensure security: Detect and prevent fraud, abuse, and unauthorised access
- Comply with law: Meet our legal obligations
We do not sell your personal data. We do not use your data to train AI models without explicit consent.
4. How we share your information
We share your information only in these circumstances:
4.1 Service providers
We use trusted third-party providers to operate our service:

All providers are bound by data processing agreements.
4.2 B2B (team accounts)
If your employer has a Swanx team account and has added you as a member, your scores and progress data will be visible to your designated team manager through the manager dashboard. Session transcript content is not visible to managers.
Before joining a team account, you will be clearly informed that your scores will be shared with your manager.
4.3 Legal requirements
We may disclose your information if required by law, court order, or to protect the rights and safety of Swanx, our users, or the public.
4.4 Business transfers
If Swanx is acquired or merges with another company, your data may be transferred as part of that transaction. You will be notified before your data is transferred and subject to a different privacy policy.
5. Data retention

You may request deletion of your session transcripts at any time through your profile settings. Deletion requests are processed within 30 days.
6. Your rights
You have the right to:
- Access: Request a copy of all personal data we hold about you
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your account and personal data
- Portability: Request your session data in a machine-readable format (JSON or CSV)
- Objection: Object to processing of your data for marketing purposes
- Withdrawal of consent: Where we rely on consent, you may withdraw it at any time
To exercise any of these rights, email privacy@swanx.app. We will respond within 30 days.
7. Cookies
Swanx uses:
- Essential cookies: Required for authentication and session management. Cannot be disabled.
- Preference cookies: Remember your settings (e.g. coach mode on/off). Can be disabled.
We do not currently use analytics or advertising cookies. If this changes, this policy will be updated and you will be notified in accordance with Section 11.
8. Security
We protect your data through:
- Encryption in transit (TLS 1.2+)
- Encrypted passwords (bcrypt)
- Access controls (only authorised personnel access personal data)
- Regular security reviews
No system is perfectly secure. If you believe your account has been compromised, contact us immediately at security@swanx.app.
9. Children
Swanx is not directed at children under 16. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has provided us with personal data, contact us and we will delete it.
10. International data transfers
Swanx is operated by Stratix Technologies LLC, based in Wyoming, USA. Our infrastructure providers operate servers in the United States. By using Swanx, you understand and consent to the transfer, storage, and processing of your data in the United States, which may have data protection laws different from those of your country of residence. We take appropriate steps to ensure your data is protected consistently with this policy regardless of where it is processed.
11. Changes to this policy
We will notify you of material changes to this policy by email and by posting the updated policy on our website. Changes take effect 14 days after notification.
